Custom project design process (SOP)

1. Purpose

To define a standardized workflow for managing the design of projects.

2. Scope

Applies to all B2B custom orders requiring project design.

3. Responsibilities

  • Sales manager: collects customer requirements, prepares offers, manages communication, requests advance payments.
  • Engineering department: reviews technical requirements, prepares and finalizes drawings, technical support.
  • Customer (B2B client): provides necessary information, manages communication with his client, reviews, and approves drawings.

4. Process Flow

Step 0 – Before order placement

  • B2B partner (customer) draw project and add all additional products in CabinPlanner before order placement. If there are impossible to draw something or wish add special details – fill up all necessary info in to the comments section (if needed, provide additional drawings/sketches).
  • If impossible to draw the project in CabinPlanner, provide all necessary info to sales manager for price estimation and proceed with next step. Please note project must be save under individual project ID in the CabinPlanner.
  • Order cannot proceed without at least one of these inputs.

Step 1 – Active / Order Placement

  • Sales manager/B2B partner collects all order details.
  • Prepare price estimation, pre-invoice or offer if required (for complex projects which can’t be drawn in CabinPlanner primary project can be made for extra charge from €150 - depending on house complexity and size).
  • Price is valid for 30 days from the ACTIVE status date (order placement).
  • Move order to IN DESIGN when final details (project specification, requirements, additional information or price estimation) are confirmed (can be done by sales manager or B2B partner).

Step 2 – In Design – WAITING (engineers department)

  • Engineers prepare drawings (1–3 working days, if project is complex can take up to 5 working days).
  • If additional info needed → request from sales manager/customer.
  • Once drawings are ready → engineers department add projects to the CabinPlanner system (order activity tab), B2B partner receive email with attached project drawings including important comments if necessary.

Step 3 – In Design – READY (Customer review & confirmation/changes)

  • Customer reviews drawings.
  • Possible outcomes:
    • Approve (in order activity tab, under specific order in administrator panel) → move to CONFIRMED.
    • Changes requested → B2B partner collects changes, engineers update drawings (1-2 working day cycle). Extra charge can be applied (see 6. Extra charges for detailed information). All required changes should be submitted at once.
    • If the B2B partner is still in discussion with the client and not all changes are known, the project should be placed in “On Hold” status until all updates are collected and confirmed.
    • If changes affect price → price must be agreed with the customer before engineers update drawings.
    • Cancel → possible cancellation fee if drawings by engineer’s department already prepared.
    • On hold → If a B2B partner is in discussion with their client (e.g., regarding design changes, budget, or building permissions) and the process is temporarily paused, the project status should be changed to On hold. Notice that price is valid for 30 days from the ACTIVE status date (order placement).

Step 4 – Confirmed – drawings APPROVED (production doesn’t start yet)

  • Final project version approved by customer.
  • Sales manager finalize price (if necessary) and requests advance payment (if applicable).
  • Production does not yet start (production deadline starts counting from CONFIRMED + advance payment received).
  • Once payment is received → move to WAITING FOR PRODUCTION by sales manager.

Step 5 – Waiting for production (production deadline starting point)

  • Engineers prepare production files.
  • Sales manager confirms production deadline according to the current production schedule.
  • Order queued for production.
  • Order cancellations or modifications are only possible with written approval from the dedicated Sales Manager. Additional costs may apply (see 6. Extra charges for detailed information).

Step 6 – In Production

  • Production preparations begin (materials, scheduling).
  • Manufacturing is carried out.
  • Completed items passed to packing.
  • Order cancellations or modifications are only possible with written approval from the dedicated Sales Manager. Additional costs may apply (see 6. Extra charges for detailed information).

Step 7 – In Packing

  • All components manufactured.
  • Final quality check performed.
  • Packing team prepares shipment, defines package measurements.
  • Order cancellations or modifications are not permitted.

Step 8 – Ready for Delivery

  • Packed goods ready for shipment. B2B partner receives email with status change (or can check statuses in orders management table).
  • Final payment before delivery (if applicable).
  • Order cancellations or modifications are not permitted.

Step 9 – Completed / Delivered

  • Shipment dispatched.
  • Process closed.

5. Timeframes

  • Design drawings: 1–3 working days (if engineer makes copy of CabinPlanner project); longer for complex ones (if impossible or partly possible draw in CabinPlanner).
  • Change requests: processed within 1-2 working days.
  • Order confirmation: expected within 30 days (time gap no more than 30 days status ACTIVE to CONFIRMED, if 30 days passed, required price update)
  • Advance payment: requested before production (if applicable). Advance payment should be made within 14 days to change from CONFIRMED to WAITING FOR PRODUCTION. If payment is late but accepted, price must be updated. Cancel if no payment after 14 days.
  • Packing: completed once all materials are ready (READY FOR DELIVERY should be done before reaching deadline).

6. Extra charges

  • Small change caused by miscommunication or engineer’s fault (after 1st drawing sent) → Free of charge
  • Small change or adjustment (doesn’t affect price) / customer requests additional necessary details for final drawings → Free of charge
  • Change or adjustment that affects price (but main structure unchanged, e.g. external sizes remain the same) → €50 per new version
  • Change or adjustment (main structure unchanged, e.g. changing painting color, impregnation) in stages: WAITING FOR PRODUCTION and/or IN PRODUCTION → €50 (modifications are not allowed without prior approval from the dedicated Sales Manager, it can affect production deadline and final price)
  • Significant changes in IN DESIGN stage (affecting main structure, requiring redrawing a new project and canceling the previous one) → from €150 (depending on house complexity and size)
  • Significant changes in stages: WAITING FOR PRODUCTION and/or IN PRODUCTION (affecting main structure, requiring redrawing a new project or changing production files) → €300 (modifications are not allowed without prior approval from the dedicated Sales Manager, it can affect production deadline and final price)
  • Cancel project in ACTIVE status → Free of charge
  • Cancel project after drawings prepared by engineers in IN DESIGN stage → from €150 (depending on house complexity and size)
